The short answer
Any system that offers live online booking with a hosted page or an embed and, ideally, URL parameters for pre-selecting practitioner and service. That covers the large majority of clinic practice management systems. Here is the list we have worked with, how each goes onto a site, and what we do when a clinic runs something else.
Systems we integrate regularly
Cliniko. Hosted booking page and iframe embed, with parameters for location, practitioner and appointment type. Embeds well on a dedicated page; deep links from every service, condition and practitioner page. Intake forms and reminders from Cliniko. Our most common integration.
Jane. Hosted booking page with deep links per discipline and practitioner. Linked rather than embedded, by Jane's design; the hosted page is polished on phones. Intake forms, waitlist, packages and memberships from Jane.
Nookal. Embeddable widget with styling options and pre-selection parameters; good for clinics with classes alongside appointments and multiple locations. Embedded on a dedicated page; deep-linked throughout.
Halaxy. Online booking with an embed and hosted page; common for solo practitioners and psychology.
Power Diary. Client portal and online booking with embed options; strong for psychology and counselling as well as physical therapies.
TM3 and PPS (UK). Online booking modules of varying vintage; we test the widget on a phone before committing to embed versus link.
WriteUpp (UK). Online booking with good intake forms; linked or embedded.
SimplePractice and TherapyNotes (US, mental health). Client portals with booking; linked.
Practice Better and Healthie (US, nutrition and wellness). Booking plus programmes; linked or embedded.
Zanda, Splose, Coreplus (AU). Online booking modules; checked per version.
The pattern is the same for all: configure the system so it exposes the right appointment types and practitioners, put the booking on a dedicated page (embedded or hand-off), deep-link every Book button on the site with the most specific pre-selection, track the clicks, and test on phones including in-app browsers.
What we need from you
- The system's name and your online booking URL.
- Which appointment types and practitioners should be bookable online, and at which locations.
- Whether you take deposits, and through which payment integration.
- The wording you want in confirmations and reminders.
- Admin access to the system's online booking settings, or a session with whoever has it, for the configuration step.
- Whether patients should be able to reschedule and cancel themselves, and the notice window.
The configuration inside the system is usually an hour with the practice manager. The website side is ours.
What we do not do
We do not recommend generic scheduling tools (Calendly, Acuity, Setmore) for clinics that have a practice management system, because they create a second diary that reception has to reconcile. If a clinic has no system and only needs simple scheduling, Acuity is workable for a sole practitioner, but most clinics grow out of it within a year and the migration is a project.
We do not build custom booking engines for clinics. The systems above have solved availability, reminders, intake and payments; a bespoke booking flow re-solves them worse. Where a clinic's needs are unusual, the answer is usually a better configuration of the system it has, or a different system, not custom code.
When you run something unusual
Send us the system's name and a link to its online booking, if any. We check three things: does it have live online booking; does it offer a hosted page or an embed that works on a phone; can it pre-select practitioner and appointment type. If all three, it integrates like the systems above. If it lacks live booking, we discuss a request form done well (minimal fields, a clear response promise, reception responding within the hour) or a booking layer, or whether the system is due for replacement.
When you are choosing a system
We will give an opinion, and it is usually one of three:
- Simple, affordable, solid, most disciplines: Cliniko.
- Best patient experience, multi-disciplinary, waitlist and packages: Jane.
- Classes and groups alongside appointments, multiple locations: Nookal.
The choice is a clinical operations decision that also affects notes, invoicing and reporting, so it is yours. Whichever you pick, the website work is the same shape.
After launch
The booking flow is tested end to end on a phone monthly as part of the care plan, because the systems update their portals and a flow that silently broke is a clinic that stopped taking online bookings without knowing. Completed bookings by source are in the monthly note.
Where this sits
Integrating the clinic's system so that booking is one tap from every page with the right practitioner already chosen is the core of what we build into clinic websites. The first question we ask is which system you run, and the answer decides the wiring, not whether it can be done.
