Two families of software, not one long list

The tools a physio-led Pilates studio runs come from two families, and knowing which one you are shopping in settles most of the decision. Clinic software — Cliniko, Nookal, Zanda and Jane — is built around a practitioner diary: appointment types of different lengths, intake forms sent before a first assessment, a client record behind them. Class platforms — Mindbody, Momence and TeamUp — are built around a timetable: a capacity per class, passes and memberships, and a checkout for both.

Cliniko, Nookal and Zanda handle both sides for many studios, which is why plenty start there and never need anything else. Where the class side outgrows them, the usual move is not to replace the clinic software. It is to put the timetable on a class platform and leave the one-to-ones where they already work.

Why this is not a ranked table

A grid of ticks will not tell you what decides it: how a tool behaves with your own week inside it. Load a real one into a trial — assessment slots, an evening of classes at the capacities you run, one intro offer, one pack — then ask these.

Does one calendar hold an assessment and a class?

Book both and look at the diary afterwards. A class is a slot with a capacity, a roster and a waitlist. An assessment is a single longer slot with a form attached. Some tools model both natively; some treat a class as an appointment with several people in it, which shows up later as a roster nobody can read at the door.

Will it refuse a class booking without an assessment?

Where your model puts an assessment before group work, that has to be a rule the software applies, not a sentence on a page. Ask how the restriction is expressed — a client tag, a membership type, a prerequisite — and what a brand new client sees when they try to skip it.

What happens to a pass when it runs down?

The pass shelf is where studio revenue sits, so work one all the way through. Does the credit come off automatically on attendance? Can the client see the balance without emailing you? What happens on the expiry date, can a membership be paused, and can an intro offer be limited to genuinely new clients?

What happens when a class fills?

Ask what the waitlist does: whether it exists, whether it promotes someone automatically when a place is released, and how late a client can cancel before the credit is gone. Then fill a class in the trial and watch it happen, because this is the part clients notice first.

Do receipts come out of the tool or out of your inbox?

Where your qualification allows a client to claim, the receipt is what they take away, and issuing it should not be a manual job. Ask what a receipt contains, whether the client can download their own, and whether it carries your practitioner details. What is claimable, and by whom, differs by country and by fund — check it against your own registration, not a feature list.

What does the embed do to the page?

A timetable is usually the heaviest thing on a studio site. Put the embed on a phone, on mobile data, and watch: does it size itself, does the page jump as it arrives, how close can the styling get to the rest of the site, and does tapping through keep the client on your domain or hand them to a differently branded page?

Which system holds the client?

If you run two, decide on day one which owns the client record and what the other may create. And before that matters, find out what an export contains. A studio that cannot leave a platform ends up designing its website around that platform's limits.

Where this sits

Every rehab studio website we build embeds whichever of these seven you run, at a fixed price. To audit what you have, run the six phone tests; for the build, see what a rehab studio website costs; for conversion, why your rehab studio website gets no bookings.
