Reception is answering questions the site should answer

A physio clinic with a full diary and a ringing phone is usually not short of demand. It is short of a website that converts demand without a human. Here is where the bookings leak, worst first.

Cause 1: booking requires reception

Patients ring during working hours, which is when reception is checking someone in. The calls that do not get answered ring the clinic down the road.

The symptom: "call us to book", or a form that produces a callback.

The change: live availability embedded from your clinic software, with the correct longer slot for a new-patient assessment and intake forms sent in advance. Cliniko, Jane, Nookal, Power Diary, Zanda and TM3 all support this. Reception should handle the bookings that genuinely need a person, which is a minority.

Cause 2: the patient cannot tell which physio to pick

The symptom: a team page of headshots and first names.

The change: a page per practitioner and per location, each with what they treat, how they work, their registration, and a button that books them specifically. Patients want a person. Each page also ranks for that person's name and speciality, which the team grid never did.

Cause 3: nobody finds you for the thing they have

Patients search "shoulder physio near me" or "running injury physio", not your clinic name. If your conditions live in a twenty-item list with no pages behind it, you are invisible for every one of those searches.

The change: a condition page for each problem you see most — what it is, what the first visit involves, how many sessions is typical, and a booking button. A page per condition is a page per search.

Cause 4: fees and insurers are not on one page

The change: private fees including follow-ups, the insurers you are recognised by, and how claims work. Insurance recognition is a strong differentiator that most clinics bury, and for a covered patient it decides everything.

Cause 5: the classes are a PDF

Pilates, rehab, falls prevention. The highest-margin hour in the clinic, advertised as a downloadable timetable.

The change: embed the timetable from the same software as the appointments, showing live spaces and taking payment.

Cause 6: the site is slow in a car park

The address gets checked from a car outside, on one bar of signal.

The change: one compressed image, no slider, chat off, booking script loaded on tap. Under two seconds on mobile data.

Fix them in this order

Online booking first — it is the largest single leak. Practitioner pages second, because they convert and they rank. Condition pages third; they take longest and compound most. Then fees, classes and speed.
