Deposits first, everything else second

Pabau, Fresha, Zenoti, Boulevard, Phorest and Timely all handle treatment menus, deposits and consent forms. Clinics already running Cliniko or Jane can embed those too.

Because they all do it, the question is not whether a system takes deposits. It is how well it takes them on the appointment type that matters — the consultation — and what happens afterwards.

Can it take a deposit on a consultation specifically?

Many clinics enable deposits on treatments and leave consultations open, which is precisely backwards. The consultation is the slot that goes unattended.

Check that a deposit can be required on that appointment type alone, that the amount can differ from a treatment deposit, and that it is credited against the treatment when the client goes ahead rather than sitting as a separate transaction someone has to reconcile.

What happens when someone cancels inside the window?

Ask to see it. Whether the deposit is retained automatically or someone has to decide, whether the client is told at booking what the terms are, and whether a rebooking inside the window carries the deposit forward. A policy the system cannot enforce is a policy you enforce by phone, which nobody enjoys.

Consent is not paperwork to be done in the chair. Check the form sends ahead, works on a phone, records a timestamp, and is attached to the client record rather than emailed to a shared inbox.

Ask what happens when it is not completed — whether the appointment flags, and whether anyone is told before the client is sitting in front of you.

Can it hold courses and memberships?

Much aesthetics revenue is a course rather than a single treatment. Check the system can sell a course, track sessions remaining, and book against the balance. If it cannot, that tracking moves to a spreadsheet beside a system you are paying for.

Does it separate practitioners by what they may do?

Where prescriber status differs between practitioners, the booking has to respect it. Check that treatments can be restricted to the practitioners qualified to deliver them, rather than relying on whoever is on reception to catch it.

What does the embed do to the page?

Aesthetics sites live or die on feeling calm and loading fast. Test the embed on a phone, on mobile data, in a private window: does the layout shift while the script arrives, and is the flow usable one-handed?

Load it only on the booking page. Your treatment pages and your gallery are what bring people in, and a site-wide booking script slows exactly those.

Where this sits

Every aesthetics clinic website we build wires deposits and consent into the platform you already run, at a fixed price. For the build cost, see what an aesthetics clinic website costs.
